Job Description

Key Tasks and Responsibilities:

GENERAL JOB DESCRIPTION

1.Analyze and monitor all HR (Human Resource) requirements for the Fleet Unit, which encompasses, outsourcing (OS), Standby Partners and The Organization staff.

2.Supervise outsourced staff in Fleet to ensure that they report on time and work effectively and responsible to ensure that all staff carries out their duties in accordance with their Job Descriptions, including strict time-keeping and completion of timesheets.

3.Support an Infrastructure that enables all staff within the Fleet Unit to be adequately trained to carry out their duties in the most efficient manner and create a structure for career development opportunities.

4.Develop Best Practices for an efficient Fleet Administration & Systems Information Section to maximize performance and monitor this performance through KPI-s (Key Performance Indicators).

5.Analyze and project the overall Finance & budgetary requirements, track projected expenditures against actual and ensure that effective controlling mechanisms are in place and constantly monitored and adjusted in accordance to operational requirements.

6.Support the Fleet Administration Requirements and ensure that they are met in full and that all renewals of contracts, insurance policies, etc, are valid and renewed on a timely basis, important to ensure that these are all in compliance with the Organization Administration Rules and Regulations.

7.Ensure that all Data produced from the FMS (Fleet Management System) is analyzed and converted into useful Management information to produce routine Daily, Weekly, Monthly, Quarterly & add hoc Reports.

8.Continuously collect and collate valuable data or information relating to improvements required for Standardization and Development purposes for Fleet Management and communicate this information to other staff in the Fleet Section.

9.Directly responsible to ensure that all data is entered into the FMS (Fleet Management System, software application) pertaining to the Vehicle & Costing Module.

10.Share experiences gained with other staff members and strive towards creating good team building and harmonious atmosphere.

11.Work, monitor and assess his tasks and performance according to Job Specific Job Description

Working with:

Will liaise and co-operate with all other employees within the Fleet Unit and other Departments within the Organization.

Qualifications & Experience:

•Bachelor’s degree in Computer Science/ Or Mathematics/ Or Statistics/ Or MBA with English as main subjects.

•University Degree in Business Administration/ Information Systems and Technology or postgraduate course specialized in statistics & analysis considered and asset but not a requirement.

•Attended courses on various Reporting Software packages.

•Good working knowledge and experience working with latest Microsoft MS Office Suite.

•Held the position of Statistician/ Data Analysis/ Administrator or similar job in a company/ NGO with at least two years’ experience gained in the relevant field.

•Excellent command of the English Language, both written and spoken is mandatory.
